Background

Founded in 1998 by Jill Robinson, from her home in Hong Kong, Animals Asia promotes compassion and respect for all animals and works to bring about long-term change. We work to end the barbaric bear bile trade, which sees over 10,000 bears kept on bile farms in China, and, according to official figures, almost 1,000 suffering the same fate in Vietnam.

Animals Asia has to date, rescued over 600 bears, caring for them at our award-winning bear sanctuaries in China and Vietnam.

Animals Asia also works to end the trade in dogs and cats for food in China and Vietnam, and lobbies to improve the welfare of companion animals, promote humane population management and prevent the cross-border export of "meat dogs" in Asia.

In addition, Animals Asia campaigns for an end to abusive animal practices in zoos and safari parks in Asia and works closely with governing authorities to improve animal management and increase awareness of the welfare needs of captive animals.

The Animals Asia Foundation is at a critical juncture in its development and has the opportunity to achieve one of its core goals within the next 5 years which is to end bear bile farming in Vietnam forever.

Overview of US Market

Animals Asia currently raises $12M (USD) through its global fundraising and communications program. With a goal of ending bear bile farming in Vietnam within the next 5 years on the horizon, there will be new investment in individual giving fundraising and a major brand awareness and fundraising marketing campaign beginning in 2020 with a strong focus on the US market.

The North American market contributes approximately $2M annually, which is 15% of the total gross income for the global organization. AAF US works closely with the Hong Kong Headquarters to achieve a range of organizational objectives.

Job description

Position Summary

The Manager of Gift Processing and Donor Relations will help provide outstanding care to our donors and promote adherence to industry standard best practices for US charitable contributions.

You will work with the global Individual Giving team and the US team to develop our relationship with supporters in order to inspire a deeper partnership with us. You will have an understanding of supporter engagement principles and be a well-organized and self-motivated, strategic thinker with an ability to see how our work ties into the bigger picture. You will ensure that a supporter led focus is maintained and that supporters are put at the heart of our processes and operations, while ensuring that there is a focus on accuracy, consistency and complete transparency.

You will be the primary point of contact in the US to ensure donations are processed and acknowledged, the donor journey is maintained and communications with supporters are appropriate and in line with the organization’s messaging.

The Manager of Gift Processing and Donor Relations also provides support for the Senior Director of Development and Executive Director as needed. This full-time position is based out of Los Angeles, and reports to the Senior Director of Development.

Responsibilities:

  • Process all offline and online donations using Blackbaud CRM in a timely manner. This includes all cash, credit cards and checks.
  • Complete daily bank deposits and assist in monthly reconciliation, working with finance in Hong Kong and the Finance and Operations Manager in the US.
  • Update donor records as required and input donor interactions into the database.
  • Ensure donations are processed with accurate coding
  • Work with the Finance and Operations Manager to develop a system to establish and maintain electronic and paper filing system for audit purposes.
  • Work with the Sr. Director of Development and the Data Services team on creating and pulling data-driven reports through Tableau.
  • Assist the Sr. Director of Development on delivering donor facing communications and touchpoints as needed. This includes assisting with our Name a Bear Program, Gifts for Bears, Oliver’s Army and any major donor, corporate or foundation communications.
  • Oversee and manage the administration of the legacy and bequest program.
  • Keep informed of program and campaign developments and have a good knowledge of our fundraising practices in order to be able to address and answer supporter questions.
  • Monitor supporter feedback and interactions to inform new initiatives.
  • Support the Individual Giving team to maintain the Regular Givers, reduce attrition and increase levels of reactivation.
  • Work with Individual Giving to ensure fundraising communications meet local market requirements, are appropriate for our supporters and that we have systems and processes in place to maximize on these initiatives
  • Review and approve all direct mail/electronic direct mail and confirm accuracy of data and segments for mailing lists.
  • Work closely with the Data Services team to drive continuous improvements and efficiencies in our operations and streamline our processes across the global market
  • Contribute to the on-going review, development and implementation of changes to improve the productivity and efficiency of AAF.
  • Identify best practice fundraising models and make recommendations and implement as part of continuous improvement.
  • Participate in staff training and performance and development appraisal process to assist in the achievement of AAF objectives and mission.
  • Ensure procedure manuals are updated in line with changes.
  • Ability to work off-hours in order to attend virtual meetings and communicate with team members in Asia and UK/Europe as needed.
  • Represent Animals Asia at internal and external functions and events as required.

Candidate requirements

Skills and Qualifications:

  • Significant (5+ years) experience in gift processing and donor relations in a nonprofit setting preferred.
  • Knowledge and practical understanding of development and fundraising.
  • Technical proficiency in database management, computer systems, and software solutions; Blackbaud Raiser’s Edge experience preferred.
  • Demonstrate a high level of integrity and excellent judgment handling sensitive and confidential information.
  • Strong attention to detail and process orientation.
  • Exceptional written and oral communication skills.
  • Ability to work flexible and extended hours during seasonal peak times.
  • Highly developed interpersonal skills, ability to work in a team and to take a leadership role.
  • Cultural sensitivity – the ability to work effectively cross culturally and adapt communications style as needed to foster collaboration.
  • Strong analytical skills having the ability to analyse data to guide decision making.
  • Demonstrated ability to work as a member of a team in a complex and fast paced environment as well as autonomously without close supervision.
  • Demonstrated ability and willingness to take initiative and to improve and enhance existing systems and procedures (quality assurance).
  • Strong people skills with a high level of organizational awareness and ability to liaise with a broad and diverse range of stakeholders.
  • Be flexible, adaptable, people oriented with strong supporter care focus
  • Proactive, with a “can do” attitude, always results driven to improve performance.
  • A passion for animal welfare and protection.
  • Possess passion and commitment for working in the sector.
  • Bachelor's degree (preferred).

Work Location:

This role is based in Los Angeles, working in an office environment full time (40 hours/week). Animals Asia Foundation is located in the Industrious coworking office space in Playa Vista at 6060 Center Drive, 10th Floor.
