Founded in 1998 by Jill Robinson, from her home in Hong Kong, Animals Asia promotes compassion and respect for all animals and works to bring about long-term change. We work to end the barbaric bear bile trade, which sees over 10,000 bears kept on bile farms in China, and, according to official figures, almost 1,000 suffering the same fate in Vietnam.

 Animals Asia has to date, rescued over 600 bears, caring for them at our award-winning bear sanctuaries in China and Vietnam.

 Animals Asia also works to end the trade in dogs and cats for food in China and Vietnam, and lobbies to improve the welfare of companion animals, promote humane population management and prevent the cross-border export of "meat dogs" in Asia.

In addition, Animals Asia campaigns for an end to abusive animal practices in zoos and safari parks in Asia and works closely with governing authorities to improve animal management and increase awareness of the welfare needs of captive animals.

The Animals Asia Foundation is at a critical juncture in its development and has the opportunity to achieve one of its core goals within the next 5 years which is to end bear bile farming in Vietnam forever.

Job description

Animals Asia currently raises $12M (USD) through its global fundraising and communications program. With a goal of ending bear bile farming in Vietnam within the next 5 years on the horizon, there will be new investment in individual giving fundraising and a major brand awareness and fundraising marketing campaign beginning in 2020 with a strong focus on the US market.

The North American market contributes approximately $2M annually, which is 15% of the total gross income for the global organization. AAF US works closely with the Hong Kong Headquarters to achieve a range of organizational objectives.

Job description

The Manager of Finance and Operations is responsible for administrative and financial activities for the US entity. You will be responsible for the oversight of the management and daily operations including finance, accounting, human resources, payroll, grant administration and risk management.

This role reports to the US Executive Director and works closely with the finance team in Hong Kong and with the Treasurer of the US board.

This position consistently exercises a high degree of initiative, independent judgment and decision making in selecting alternatives within established guidelines, policies and procedures.


  • Establish accounting policies and procedures.
  • Update employee handbook and travel policy annually.
  • Work with the Executive Director and budget holders on the annual budget process.
  • Meet with Executive Director, board treasurer and HK finance team as needed to discuss budget variances.
  • Manage cash flow by forecasting cash balances on a quarterly basis.
  • Ensure that good internal controls are in place. Report weaknesses to the Executive Director and suggest improvements, best practices and remedies.
  • Keep abreast of current developments in finance, management and computer technology as to be able to suggest new approaches for increased operational efficiency.
  • Primary contact for banking relationships, annual review of banking best practices and act as a signer on assigned accounts.
  • Oversee biweekly payroll.
  • Manage the annual audit and interact with external auditors, board treasurer and Executive Director in the audit of the accounting records.
  • Prepare the close of the fiscal year working with the finance team and external CPA to submit annual 990.
  • Oversee the annual renewal process and serve as the primary contact for Insurance Policies, Worker’s Compensation, Liability, Commercial umbrella policy, etc.
  • Lead the bi-annual granting process from the US to Hong Kong.
  • Ensure all MOU’s are updated, and parties are adhering to the guidelines agreed upon.
  • Initiate new and maintain existing financial reports as necessary.
  • Work with the finance team and Executive Director to prepare quarterly financial reports for the US board.
  • Oversee annual compliance application process with external agency.
  • Liaison with finance team to provide bank balances and statements as required.
  • Assist the finance team with month end reconciliation.
  • Design and maintain filing system.
  • Serve as the point of contact for the finance team in Hong Kong. Ensure income and expense processing records are timely and accurate
  • Contribute to the on-going review, development and implementation of changes to improve the productivity and efficiency of AAF.
  • Participate in staff training and performance and development appraisal process to assist in the achievement of AAF objectives and mission.
  • Ensure procedure and policy manuals are updated.
  • Ability to work off-hours in order to attend virtual meetings and communicate with team members in Asia as needed.
  • Represent Animals Asia at internal and external functions and events as required.

Candidate requirements

Skills and Qualifications

  • 5+ years’ experience in finance, operations and/or human resources in a nonprofit setting preferred.
  • Knowledge of clerical bookkeeping/accounting principles and practices under GAAP (Generally Accepted Accounting Principles).
  • Demonstrate a high level of integrity and excellent judgment handling sensitive and confidential information.
  • Excellent organizational skills and the ability to meet tight deadlines
  • Exceptional written and oral communication skills.
  • Highly developed interpersonal skills, ability to work in a team and to take a leadership role.
  • Cultural sensitivity – the ability to work effectively cross culturally and adapt communications style as needed to foster collaboration.
  • Strong analytical skills having the ability to analyze data to guide decision making.
  • Demonstrated ability to work as a member of a team in a complex and fast paced environment as well as autonomously without close supervision.
  • Strong people skills with a high level of organizational awareness and ability to liaise with a broad and diverse range of stakeholders.

Work Location

This role is based in Los Angeles, working in an office environment part time (24 hours/week). Animals Asia Foundation is located in the Industrious coworking office space in Playa Vista at 6060 Center Drive, 10th Floor.
