Position Summary
The Executive Assistant to the President & CEO is responsible for supporting functions for the organization and will be responsible for supporting the international board and executive team by organizing contacts, directing calls, coordinating meeting requests and schedules, and preparing correspondence. With a strong attention to detail and excellent organizational skills, the Executive Assistant to the President & CEO will assist with organizational event coordination and management, as requested. In addition, he/she will attend specific meetings, provide follow-up reports and minutes as required, and be proactive in anticipating the needs of the CEO, the board and the executive office.


Highlighted Responsibilities:

  • Manage and deliver all information and documentation for all international board meetings
  • Assist with Make-A-Wish International hosted events
  • Establish excellent working relationship with the Members of the Board of Directors
  • Prepare materials for meetings and events as required
  • Prepare correspondence on behalf of CEO and international board members
  • Assist in preparing agendas and minutes for meetings and any committees requiring administrative assistance
  • Attend meetings as requested and manage required follow-up (track outstanding action items)

  • Record and distribute meeting notes and coordinate related follow-up activities
  • Follow-up and track outstanding action items from meetings
  • File and retrieve organizational documents and reports both in hard and soft copy
  • Manage and update key contacts in organization’s database and executive’s files Manage schedules and coordinate internal and external meetings for the CEO if requireD
  • Prepare travel/miscellaneous expense requests for the CEO/Board Members if required
  • Other duties as directed

Candidate requirements

A well-qualified candidate will possess the following:

  • College degree and 5+ years of experience
  • Must be detail-oriented and highly organized
  • Excellent writing, research and communication skills
  • Strong computer skills and proficiency in using Microsoft Office applications.
  • Ability to organize time, work independently, as well as follow direction, collaborate, coordinate and prioritize multiple tasks, and meet deadlines on time and effectively.
  • Demonstrated ability to be highly flexible and provide exemplary customer service to diverse, audiences
  • Ability to handle confidential matters with a high level of integrity
  • Strong interpersonal skills and ability to build relationships with staff, board members, external partners, and donors
  • Ability to identify potential issues and problem solve to find resolution by all parties
  • Demonstrate proactive approaches to problem-solving, and strong decision-making capabilities
  • Experience working in a federated organization.
  • Bachelor’s degree in journalism or communications or related field, or the equivalent combination of education and experience.
  • A strategic thinker with excellent judgment, professional credibility, intelligence, maturity, and collaborative skills that inspire confidence and the trust of the CEO, board, and executive team.
  • Exceptional communication and interpersonal skills, including the ability to work with senior officers and trustees.
  • Ability to motivate and inspire staff and keep them engaged, energized and focused on positive results.
  • Ability to work effectively and accurately under tight deadlines and to help resolve potential conflicts.
  • Commitment to fostering respectful communication and collaboration within a diverse community.
  • Helps develop and lead special projects for the CEO and Board members
  • Drives and monitors progress toward goals, including key commitments and actions required by the CEO and senior leadership.
  • Plans and runs regularly scheduled team meetings, pushing forward a positive agenda for the org and ensuring focus on and successful completion of highest priorities.
  • Handles confidential and sensitive information, exercises excellent professional judgment and discretion, and interacts effectively with Dartmouth constituencies, including senior officers.
  • Demonstrates a commitment to diversity, inclusion, and cultural awareness through actions, interactions, and communications with others.
